    currently we are using the Email Manager to monitor an inbox and log jobs automatically based on some criteria.The EM then using a job Template and Email Template to process the email etc.

    The Issue I have is that as part of the Job Template I have to pre-define the system codes. I can not save the template unless all fields are filled in. However as part of the auto email logging process i would far prefer it if i could get it to use a template where one or two system codes are not predefined. Then when my team pick up the job and carry out a next action (resolve, re-assign etc) then the system would force them to select the system code at that point.

    An example of this is the Category whereby they should select one based on the information in the email.

    I know I can use different search criteria and it is quite powerful but this would mean that I would have to create many different templates and even then for our business it will be very difficutl to do. Predefining a dummy entry (which is what i currently have) works some of the time but then many times they just forget to change it and I end up with inaccurate data again.

     

    Is this possible?

    Boy, is that a familiar problem. I had a category called "unassigned" and informed everyone they had to change it to the appropriate category when they picked up the job. Every week I ran a report to find jobs where category = unassigned and would change them myself. Le sigh.

    Hi Timo,

    Thanks for posting this. This is something that we will be addressing in an upcoming release of HelpMaster. We'll be doing it almost exactly as you have mentioned. Each job template will have a special "Unspecified" code that can be used for each of the mandatory fields (Issues, job type, contact, priority) and the job will be logged with these.

    When the job is assigned, HelpMaster will force the user to update the "unspecified" codes to something else.

    In the meantime, you could set up a Priority Manager profile to look for your "dummy" codes and send a reminder to the person that is assigned the job to change them.

    Quick update on this issue. We are now coding this feature. Should be a great enhancement to the Email Manager and the overall use of HelpMaster.

    OK, feature complete and released in v12.5.17. Works great, but looking forward to some live feedback so that we can further refine and improve it.
